Terms used for KVK documents
Plain explanations of words you may encounter when choosing or ordering a document.
- Trade Register
- The Dutch register in which the KVK records businesses and legal entities. A search result, a certified extract and historical information serve different purposes. Decide whether you need to check details or provide a document to someone else.
- KVK number
- The number that identifies a KVK registration. Use it to select the right business, then check the name and branch as well. Similar trade names can otherwise lead you to order a document for the wrong business.
- Certified
- Certified by the issuer. A certified KVK extract is issued by the KVK; our ordering service is separate. Ask the recipient whether they accept the original digital PDF or require an original paper document.
- Digital seal
- An electronic seal attached to the original digital document. Keep and send the PDF unchanged. A printout or screenshot cannot be checked in the same way. A picture of a seal is not itself a digital seal.
- Document language
- The language of the document you order, which is separate from the language of this website. Check the language selected in your order and ask the recipient which version they need. A translated website does not make every product available in that language.
- Annual accounts
- Financial statements for a completed reporting period. In your order, choose an available financial year and version. The amount of detail filed differs by business; a sample cannot show what every individual set of accounts contains.
- Financial year
- The reporting period covered by annual accounts. Check that period, not just the year when you place the order. The latest calendar year may not yet have been filed. Choose the year that answers the recipient's question.
- Filing
- The filing of a document with the register. An overview of filings lists the documents recorded there; it does not contain them. Order the relevant annual accounts separately if you need to read the figures.
- Group relationship
- A registered link between organisations, for example through management, liability or sole shareholding. Our ordering route covers direct relationships around the chosen registration. It is not a full shareholder register or a record of every possible interest.
- Trade Register history
- Earlier register information about a business and its changes. Decide which change and period you need to check. History is a different product from a current extract and does not prove what is registered today.
- Company profile
- Our own PDF overview of available business details. It is not a certified KVK extract. Use it for initial research only if the recipient accepts an informational overview. The details included depend on the available sources.
- Company report
- Our package with a digital extract and, where available, history, direct group relationships and an overview of filings. Unavailable additions are shown before payment; the package price stays the same. The parts arrive separately, never as one merged PDF. Annual accounts and copies of filed documents are not included.
