What does certified mean?
The seal confirms that the KVK issued the document. A digitally certified extract has an electronic seal in the PDF; the recipient can check its origin and signature in Adobe Acrobat Reader. When do you choose a digital extract?
A bank, notary or business partner can request a certified extract. The content of a digital and a paper KVK extract is the same; the seal and delivery differ. Ask whether the recipient accepts a digital PDF, what language is required and the maximum age of the document. The KVK will email the digital PDF directly to the specified address. Please review the contents and price of the digital extract before ordering.
When do you need paper?
Choose paper if the receiving organization requires a copy certified on paper by the KVK. This could be the case, for example, in foreign proceedings. Ask in advance whether legalization or a translation is required: the paper certification does not take care of these steps automatically. A digital PDF printed at home is not a paper KVK original. What does a company profile offer?
Our Company Profile bundles available company data in its own PDF. It is not an extract issued by the KVK and does not have a KVK seal. This may be sufficient for an initial exploration; not for a request for certified evidence. Check the product information to see what information it contains, as availability varies per company.
How recent should the document be?
An extract shows the data recorded at the time of request. The seal itself does not expire after a fixed period, but data can change. The KVK notes that many organizations ask for a document that is no more than a month old. This is not a general rule of validity: the recipient determines the maximum age. Please check your choice before ordering
Check the KVK number and the correct establishment. According to the KVK, a branch extract does not list company officers. If the recipient needs to see directors or authorised signatories, check whether an extract for the main establishment is required. Compare the document type, language and delivery method with the recipient's requirements. If you are unsure which product to choose, call us before ordering.
